Contact base: filter, import CSV spreadsheets, export, and organize contacts with tags and LGPD

The "Base de contatos" (Contact base) is the dashboard screen that gathers everyone who has talked to the company or came from a spreadsheet, with filters that show the count before you click, CSV import and export, tags, and the record of who can receive messages.

Who can use it

RoleWhat you see and do
OwnerSees and does everything: imports and exports CSV, edits contacts, applies tags, declares the legal basis on the record, and uses the "Continuar no WhatsApp" (Continue on WhatsApp) button on site chat contacts.
AdminSees the base, filters, adds and edits contacts, applies and removes tags, imports and exports CSV. Does not declare the legal basis on the record and does not see the "Continuar no WhatsApp" (Continue on WhatsApp) button.
AgentSees the base, filters, adds and edits contacts, applies and removes tags, and starts conversations. The "Importar CSV" (Import CSV) and "Exportar CSV" (Export CSV) buttons do not appear.

Screens

"Base de contatos" (Contact base)

The "Base de contatos" (Contact base) screen is for slicing the base with filters, checking who can receive messages, importing or exporting a list as CSV, and opening each contact's record to edit data and tags.

Address in the dashboard: /app/contatos

The "Base de contatos" (Contact base) screen in the demo account, with sample data and blurred values.

How to get there: From the menu, or by clicking a company on the "Empresas" (Companies) screen: the "Base de contatos" (Contact base) opens already filtered by that company.

Base pulse

Four general numbers for the account, which do not change with the filters.

  • "Total na base" (Total in base): active contacts in your base.
  • "Novos hoje" (New today): contacts created today.
  • "Quentes agora" (Hot right now): leads in the "Quente" (Hot) band, ready for outreach.
  • "Aguardando humano" (Waiting for human): conversations in the handoff queue, with a pulsing green dot.
  • If the reading fails, the number becomes a dash instead of zero.

Smart lists

Buttons and actions

"Todos os contatos" (All contacts)

"Esperando nossa resposta" (Awaiting our reply)
Filters those whose last message went unanswered beyond the account's reply deadline, the same one the Inbox enforces.
"Sem consentimento" (No consent)
Filters those who never gave consent. Some may have a declared legal basis; the badge on the record tells them apart.
"Reengajar · ‹banda› ‹n›d+" (Re-engage · ‹band› ‹n›d+)
Filters the contacts in the re-engagement rule's band with no interaction for N days or more. The band and days come from the rule configured in CRM & Graph.
"Importados hoje" (Imported today)
Filters those who came in through a spreadsheet since the start of the day. Those who already existed in the base do not count.

Frequently asked questions

Does "Base de contatos" (Contact base) import Excel (.xlsx) files?

The import on this screen accepts .csv files. In Excel, use Save as and choose CSV before importing.

What goes into the file from "Exportar CSV" (Export CSV)?

The contacts in the view currently on screen, with the filters and search applied. To export the entire base, first click "Todos os contatos" (All contacts).

Why don't I see the "Importar CSV" (Import CSV) and "Exportar CSV" (Export CSV) buttons?

They appear only for the Owner and Admin. Someone with the agent role cannot import or export the base.

Do the numbers at the top change when I filter?

No. "Total na base" (Total in base), "Novos hoje" (New today), "Quentes agora" (Hot right now) and "Aguardando humano" (Waiting for human) are account-wide numbers. What changes with the filter is the list and the counts in the left column.

Is the choice between "Cartão" (Card) and "Tabela" (Table) saved?

Yes, in this browser. It is not included in the link: whoever opens a shared link gets the filters, but sees the list in the mode they chose for themselves.

What is the difference between the record in "Base de contatos" (Contact base) and the CRM record?

The side record in "Base de contatos" (Contact base) edits name, company, email and tags and declares the legal basis. The CRM & Graph record shows the purchase profile, engagement and LGPD actions, with the contact in read-only mode.

What is the disabled "Disparar" (Send) button on the record?

It is manual sending to a single contact, which is not available yet. To talk to the person now, use "Iniciar atendimento" (Start conversation).

Help center guide

"Base de contatos" (Contact base)

Everyone who has ever talked to you, plus those you brought in from a spreadsheet. This is where a campaign's audience comes from.

Every person who sends a message enters here on their own. And you can bring in your old list from a spreadsheet. This is the base that supports everything done in bulk.

The screen

On screen: "Base de contatos" (Contact base) with the filter panel on the left and the contact list on the right. Filters on the left, contacts on the right. Each filter shows how many contacts it reaches before you click.

  1. The size of the base: How many contacts exist, how many came in today, how many are hot, and how many are waiting for service. Click a number to see its list.
  2. The filters: Ready-made lists on top; below, temperature, source channel, and status. The number next to each option is how many people it catches — you know the size before clicking.
  3. Search and actions: Search by name, company, or phone; switch between "Cartão" (Card) and "Tabela" (Table). This is where "Importar CSV" (Import CSV), "Exportar CSV" (Export CSV), and "Novo contato" (New contact) come from.
  4. The list: Name, company, channel, tags, status, and temperature. Click to open the full record, with the contact's conversation and journey.

The ready-made lists, and when to use each one

At the top of the filter column there are ready-made lists, each with a count beside it. They are shortcuts for the questions that repeat every week, and the count lets you decide before clicking whether it is worth it:

"Quentes agora" (Hot right now)
Who is ready for outreach today. If this number grows and nobody calls, the problem isn't lead generation.
"Esperando nossa resposta" (Awaiting our reply)
People who wrote in and were left without a reply. It is the list that ages worst — worth opening every day.
"Sem consentimento" (No consent)
Contacts that can't enter a campaign. A high number here explains why your last batch reached fewer people than you expected.
"Reengajar" (Re-engage)
People who cooled off without saying no. It is the natural raw material for a re-engagement campaign.
"Importados hoje" (Imported today)
Useful for checking the import you just did, before sending anything to those contacts.

Next to the search there are two ways to see the same list. "Cartão" (Card) shows each contact with tags and temperature, and is better for going through a few people carefully. "Tabela" (Table) stacks many more rows on the same screen and is better for checking an import or scanning the base for a case. In table view, you can sort by clicking the column header — and, on a large base, the screen warns that sorting applies to the first contacts, instead of pretending it sorted everything.

Bring in your spreadsheet list

  1. Keep the spreadsheet simple: One row per person, with name and phone at minimum. Email and company help. Save as CSV.
  2. Check the columns: After you upload the file, the screen shows the first rows and asks you to say which column is which. Look at the preview: this is where you catch a phone number in the name column.
  3. Declare on what grounds you have these contacts: This is the mandatory part, and it exists to protect you. You choose one of the three real situations, and your choice is recorded with your name and the date.
  4. Import: Anyone who already exists by phone doesn't get in twice. And the phone is understood however it is in the spreadsheet — with or without +55, with or without the ninth digit, with a dash or parentheses: it is the same person, and when they reply on WhatsApp the conversation lands on this contact, not a duplicate. At the end it shows how many came in and how many were ignored, with the reason.
"São meus clientes" (They are my customers)
People who have already bought from you. It is the business relationship that gives the right to talk.
"Pediram contato" (Asked to be contacted)
They filled out a form, left their phone number at your booth, asked for a quote.
"Autorizaram receber mensagens" (Authorized receiving messages)
They said yes, explicitly, to receiving communication from you.

Who can receive messages

Each contact's record has a block "Pode receber mensagem?" (Can receive messages?). It answers in just one way, with no fine print:

  • "O titular respondeu no atendimento" (The data subject replied during service) — the person talked to you. It is the strongest authorization there is.
  • "Base legal declarada" (Declared legal basis) — you declared the reason, at import or on the record itself (only the Owner declares). It works for campaigns and for starting a conversation, and shows who declared it and when.
  • "Sem autorização" (No authorization) — neither one nor the other. It stays out of any send until the Owner declares the legal basis right there, in the block, choosing the reason among the three from the import.
  • "Pediu para não receber" (Asked not to receive) — the person unsubscribed. This overrides everything, always, including a declared legal basis.

When the import doesn't go as expected

Far fewer people came in than the spreadsheet had
Almost always it is a repeated phone number: anyone who already exists by phone doesn't come in again. The import result says how many were ignored and why — read it before redoing the file.
Rows rejected for an invalid phone
A number without an area code, with text in the middle, or with fewer digits than it should have. Fix it in the spreadsheet and import again: reimporting doesn't duplicate those who already came in.
The names came in the wrong column
The column check was rushed. There is no way to undo the import in bulk; fix the affected contacts through the record, or redo the spreadsheet and import over it — the phone is what matches the records.
The campaign reached fewer people than the list
It is not the import: it is consent. Open the "Sem consentimento" (No consent) list and you will see exactly who was left out.

Organize to find things later

  • "Etiquetas" (Tags) are free-form: obra em andamento, indicação do João, visitou a loja. Filter by them when you build the campaign.
  • "Empresas" (Companies) group contacts from the same business. Two people from the same company appear linked in "Empresas" (Companies).
  • The filter you built stays in the page URL. Copy the link and send it to someone on your team: they will open the same list.

In the dashboard: "Abrir a Base de contatos" (Open Contact base)
