Pipeline: sales kanban board with stages, deadlines, round-robin and won or lost

The "Funil" (Pipeline) is the panel's kanban board where each lead becomes a card and each column is a sales stage, with a deadline, round-robin, deal data and a won or lost outcome.

Who can use it

RoleWhat you see and do
OwnerSees and uses everything: creates boards from the industry gallery, opens "Configurar quadro" (Configure board), changes columns, roles, fields, rules, deadlines, "Aparência" (Appearance), "Nome e vocabulário" (Name and vocabulary), and deletes boards. Also works the cards like anyone on the team.
AdminThe same as the Owner: creates, configures and deletes boards, and works the cards.
AgentSees the Pipeline in the menu and works the cards: drags between stages, opens the card panel, fills in the deal data, edits the value, accepts suggestions, marks won or lost, reopens and removes a card. The "Novo quadro" (New board) and "Configurar quadro" (Configure board) buttons appear disabled, with the tooltip that only administrators change the board; when opened by address, the industry gallery and the settings show the notice that they are for administrators only.

One field per missing item, in its own type (text, number, currency, date, list as buttons, or yes or no), with the field's help text. When empty it shows "Preencha este dado." (Fill in this field.), "Escolha uma opção." (Choose an option.), or "Informe a data." (Enter the date.).

Fields and filters

"Valor do negócio" (Deal value)

Disabled until you choose the reason. Marks the deal as lost, moves it to the lost column, and stops the cadences.

Frequently asked questions

Who can create, configure and delete pipeline boards?

Only the Owner and the account's Admins. Agents work the cards (dragging, filling in data, marking won or lost), but see "Novo quadro" (New board) and "Configurar quadro" (Configure board) disabled.

Does removing a card from the board delete the lead?

No. The lead stays in the CRM and in the conversations; only this board's card goes away. A standalone card, which has no lead, is deleted for good.

What does the Manual badge on the card mean?

That someone on the team moved the card by hand. From then on, rules and the AI no longer move this card on their own, until someone uses "Religar automação" (Turn automation back on).

Why doesn't the account filter appear?

It only appears under "Mais filtros" (More filters) when there are two or more active accounts on the same channel, such as two WhatsApp numbers. With a single account, it wouldn't separate anything.

What does the board search find?

The lead's name, the company, the title of a standalone card and the deal's non-sensitive text data, ignoring accents and capitalization.

Are the pipeline filters saved?

No. They apply while you are on the board; when you switch boards or reload the page, they return to normal.

Why doesn't the total appear at the top of a column?

The total only appears when it is greater than zero and never on the lost column. It uses the board's currency field or, without one, the deal value of the cards.

Can an agent see a deal's sensitive data?

The sensitive field appears masked in the card panel. The "Mostrar" (Show) button reveals the value and records in the audit log who opened which field of which lead.

Help center guide

"Funil" (Pipeline)

The board where each lead becomes a card and each column is a stage of the sale. Drag, see how much is at stake, and leave part of the work on automatic.

A good conversation that nobody follows up becomes a lost conversation. The pipeline exists so you can see, at a glance, where each deal stands and how much money is sitting in each stage.

The board

On screen: The Commercial pipeline board: the boards bar, the round-robin, the filters with the summary and More filters, the stage markers, and the columns with the name, the count, the deadline, and the cards. One card per lead, one column per stage.

  1. Which board you are viewing: You can have more than one: one for new sales, another for renewals, another for a specific campaign. A board created from an industry template carries that industry's icon, and "Novo quadro" (New board) opens the industry gallery. Next to it, "Configurar quadro" (Configure board) leads to the columns, fields, and rules; deleting a board is done there, under "Nome e vocabulário" (Name and vocabulary).
  2. Filtering the board: Search by name or by a deal detail, and filter by who is handling the deal, by the deal's list fields, and by ad campaign. The summary on the right shows how many deals are open and how much they add up to. Next to it, "Mais filtros" (More filters) opens the rest: only hot deals, only those the AI moved ("Automático" (Automatic)), only those you moved (Manual), only leads that came from an ad, "Só estourados" (Overdue only), "Ganhos" (Won) and "Perdidos" (Lost), the channel and, with more than one connected WhatsApp number, the account. When any of them is on, the button shows how many.
  3. "Ir para a etapa" (Go to stage): One marker per stage, with how many cards it has. Clicking scrolls the board to that column, and the marker for the stage in view is highlighted.
  4. The top of the column: The stage name and how many cards it has; below, the deadline, the round-robin, and the sum of values, which only appears when it is above zero. The sum uses the first currency field shown on the front of the card (the property value, in the "Imobiliária" (Real Estate) template); with no currency field on the board, it uses the deal value. It is the number that answers "how much do I have in proposals right now?" The summary at the top also adds up the deal value of cards that do not have the field yet.
  5. The card: At the top, the name and the conversation's score ("Quente" (Hot), "Morno" (Warm), "Frio" (Cold)); right below, the deal's first text field (the property of interest, in the "Imobiliária" (Real Estate) template) and, when the round-robin passed the lead along, who did not take it in time; then the deal data shown on the front of the card; in the footer, how long the card has been in the stage, who has it (or "Com a IA" (With the AI)), and the ad icon. The "Aparência do cartão" (Card appearance) setting, in "Configurar quadro" (Configure board), also turns on the lead's last sentence, the letters N O A P of BANT, the channel, and the journey bar.

The basics

  1. Drag the card: From the current column to the next one. If you prefer the keyboard: with the card in focus, the arrow keys move it and the space bar drops it.
  2. Enter the deal value: Open the card and type what it is worth. Without this, the column sum is just a head count.
  3. Create your own columns: The stages that come ready-made are a starting point. In "Configurar quadro" (Configure board) → "Colunas e etapas" (Columns and stages), rename, remove, and create columns, and set each column's role in the pipeline until the board describes the way you sell. A new board starts from your industry's template, under "Novo quadro" (New board) — see Pipeline by industry; if you cannot find your industry, use the Generic template.

Leaving part of it on automatic

Each board can have rules: when this happens, do that. They save you from having to remember to move a card after every scheduled meeting.

Common triggers
The lead became hot, the AI scheduled a meeting, the lead went silent for X days, the conversation was closed, a new message arrived. For the ready-order column, use "lead vira quente → Mover cartão" (lead becomes hot → Move card): with "Conduzir até o pedido completo" (Guide through to the complete order) on (the default for new accounts), in "Configurações" (Settings) → "IA & persona" (AI & persona), the trigger "lead é transferido para atendente" (lead is transferred to agent) fires when the order is complete (the conversation goes to the team to confirm) or when the AI cannot continue safely.
What the rule can do
Move the card to another column, suggest the move for someone to confirm, trigger a cadence, or notify the agents.

Deadline per stage and round-robin

On screen: "Imobiliária" (Real Estate) board with the "Qualificado" (Qualified) column set with a 15 min deadline and the round-robin; each card's time shows as “9 of 15 min”, in green, amber, or red, and "Mais filtros" (More filters) open shows "Só estourados" (Overdue only) with the count. The card's time changes color with the deadline; "Só estourados" (Overdue only), under "Mais filtros" (More filters), shows how many have gone over.

Each column can have a maximum time: how long a card can stay there before it goes overdue. It is under "Configurar quadro" (Configure board): in each column's dialog ("Colunas e etapas" (Columns and stages), "Prazo para o próximo passo" (Deadline for the next step)) or under "Rodízio e prazos" (Round-robin and deadlines), in minutes; empty means no deadline. With a deadline, the time in the card footer starts counting against it ("9 of 15 min") and changes color: green within the deadline, amber from the halfway point, red once it is over, and then it says "estourou" (overdue). "Só estourados" (Overdue only), under "Mais filtros" (More filters), shows how many there are and leaves only those on screen.

The same column can distribute through the round-robin: when a card enters it (by drag, by an accepted suggestion, or by automation), the lead's conversation goes to the next agent in the queue, with their name on the card. The round-robin is turned on in "Configurações → Equipe" (Settings → Team); while it is off, the mark on the column does nothing.

Strike
With the round-robin on, a card that goes over its deadline with a responsible agent gives that agent a strike and passes the lead to the next in the queue. It applies to columns with the role "Entrada" (Input), "Qualificado" (Qualified), and "Atendimento" (Service), and to columns with no role. In an intermediate stage, going overdue only notifies whoever has the card (or the account Owner, when the card has no one responsible or when the responsible person does not log in to the dashboard), with no strike and no change of agent. The sweep runs every 5 minutes, and each stay in a column earns at most one strike or one notice.
3 strikes in 7 days
The agent leaves the round-robin: they stop receiving new leads until the Owner puts them back, under "Equipe" (Team). They keep handling what they already have.
No one available
If everyone is full or out of the round-robin, the lead stays in the handoff queue as usual and the Owner receives a notice.

Won and lost: the deal has an end

On screen: "Marcar como perdido" (Mark as lost) dialog over the board: the reason buttons, a notes field, and the "Confirmar perdido" (Confirm lost) button. Lost asks for the reason; won confirms the value. The card goes to the right column and the cadence stops.

A column with the role "Ganho" (Won) or Perdido marks the deal's outcome: the role is chosen in "Configurar quadro" (Configure board) → "Colunas e etapas" (Columns and stages), in the column's dialog. New boards are already created with both roles set; on existing ones, you set them. From then on, dropping a card in that column opens the question: "por que perdemos?" (why did we lose?) or "por quanto ganhamos?" (how much did we win for?) (the deal value: with a currency field filled in, such as the property value, that is the value used, in place of the budget the AI estimated in the conversation; a value someone typed stays, and the hint offers to use the field's value). The reasons come in three groups: those of this board (the industry template's and those only for it), those of your account, and the product's general ones ("Preço" (Price), "Não é agora" (Not now), "Concorrente" (Competitor), "Sem resposta" (No response), "Não era para nós" (Not a fit), "Outro" (Other)). A reason can ask for an extra field, which appears right below; and the won column can ask for its fields before marking. "Cancelar" (Cancel) leaves the card where it was.

You can also mark it from the card's ⋮ menu or from the side panel buttons, without dragging: the card goes on its own to the outcome column. On the card, the score pill becomes "Ganho" (Won) (with the win date in the footer) or Perdido (with the reason under the name), the lead's follow-up cadences stop, and the lead record and the card's history log who marked it, when, and the note. Under "Mais filtros" (More filters) you will find won, lost, and the win rate for the last 30 days and the "Ganhos" (Won) and "Perdidos" (Lost) filters.

"Reabrir negócio" (Reopen deal)
From the card menu or the side panel. It clears the outcome, returns the card to the stage before the outcome column, and keeps the old record in the trail. Cadences do not come back on their own.
Why the reason is required
The Revenue numbers (why we lose, how much sat idle because of price) and the ideal customer calculated by the AI come from it, and the AI learns from who won and who lost. Without a reason, a lost deal teaches nothing.
The Perdido column and lead status
The templates' Perdido column also changes the lead's status to disqualified, as it always has. The outcome is a separate record, of the deal; a lead disqualified today can become a won deal after being reopened.

Inside the card

Each card starts with the photo of who it represents, when one exists — today, people who came through Instagram. Without a photo, a circle with initials: the board looks like the Inbox, and at a glance you recognize the person before reading the name.

Clicking the card (or Enter, with it in focus) opens the panel next to the board, which stays visible and draggable: the stage and how long the card has been in it, who has it, where the lead came from, the conversation's "Resumo da IA" (AI summary), the deal's history (where it has been and how long it stayed in each stage), and the "Abrir no Inbox" (Open in Inbox) shortcut. This is where the answer to "what happened with this customer again?" comes from. The X closes the panel and returns you to the card.

The same panel holds the "Dados do negócio" (Deal data) (the account's fields, which save when you leave the field), the "Próxima etapa" (Next stage) box with what is missing for the card to advance, and the "Mover para" (Move to) buttons for the next stage or another one. Up to three fields also appear on the front of the card. How to create fields and say what each stage requires is covered in Pipeline by industry.

When the board stops helping

A column that only grows
Cards going in and never coming out is a symptom of a poorly defined stage, not of a slow team. Ask what has to happen for the card to leave; if no one can answer in one sentence, the column does not really exist and is worth merging with its neighbor.
The rule moved a card you did not want moved
Drag it back. What you do by hand beats automation, and the card keeps a record of who moved it and why — that is how you find which rule is too broad.
Duplicate cards for the same lead
It happens when the same person comes in through two channels. Merge the contacts in "Base de contatos" (Contact base) and the board shows a single card.
The deal value does not match the proposal
The value you type by hand on the card beats any automatic estimate. If it is wrong, it is because no one corrected it after the proposal changed.

In the dashboard: "Abrir o Funil" (Open Pipeline)

Pipeline by industry

Ready-made template, the role of the stages, and what each one requires

Start from your industry's template

  1. Open "Funil" (Pipeline) → "Novo quadro" (New board): The gallery shows the 17 industries; the search understands the name of the business (“dentista” finds "Odontologia" (Dentistry)). Your account's industry comes first, with the "Segmento da sua conta" (Your account's industry) badge; if your industry's template was built by the AI, it appears as one more card, with the "Gerado pela IA" (Generated by AI) pill.
  2. Open the industry: See what comes with it: the columns with each one's role, the deal fields, the loss reasons and, for industries with safeguards, the professional-council and LGPD rules.
  3. Adjust what comes with it: Uncheck the fields you do not want and add loss reasons for this board only. The front of the card shows up to three fields, counting all the account's boards: if the card is already full, the panel tells you which ones stay only in the card panel.
  4. Decide who receives new leads: Decide whether the old board stops receiving new leads and whether the new one becomes the default. Only the rules that create cards are turned off: the notices and the new-lead cadence keep running.

On screen: The industry gallery under "Funil" (Pipeline) → "Novo quadro" (New board): the board bar, the industry search, the "Com cuidados do segmento" (With industry-specific safeguards) filter, and the cards for "Imobiliária" (Real Estate), "Clínica médica" (Medical clinic), "Odontologia" (Dentistry), and others, each with its stages, fields, and reasons. The industry gallery: each card shows the stages, fields, and loss reasons the board brings.

On screen: The "Imobiliária" (Real Estate) board: the board bar, the round-robin on in "Qualificado" (Qualified), the filters, the summary of open deals, the stage markers, and the columns with the cards. The board created from the "Imobiliária" (Real Estate) template. The "Pasta" (Application file) and "Aprovação de crédito" (Credit approval) stages ask for data before the card enters.

The role of each column

The column name is yours. In "Configurar quadro" (Configure board) → "Colunas e etapas" (Columns and stages), each column also declares its "Papel no funil" (Role in the pipeline), and the role is what Revenue, webhooks, and the "Investimento → Venda" (Spend → Sale) report use: the report's bars and columns follow the board's stages, and the won column says what counts as a sale.

"Papel" (Role)What it meansHow many per board
"Entrada" (Input)Where a new lead enters on its ownOne, the first column
"Qualificado" (Qualified)The AI has qualified the lead; the round-robin and the deadline to take it start hereOne
"Atendimento" (Service)A team member has taken over the conversationNone or one
"Etapa intermediária" (Intermediate stage)The steps of your processAs many as you need
"Ganho" (Won)Closed deal: asks for the valueOne
PerdidoLost deal: asks for the reasonOne, the last column

The stages and what each one requires

Each stage can require fields before the card enters. When you drag to a stage with a missing field, a dialog opens asking for what is missing. Going back a stage or reopening never asks for anything. In the "Imobiliária" (Real Estate) template:

StageRequires
"Visita" (Visit)"Imóvel de interesse" (Property of interest)
"Pasta" (Application file)"Valor do imóvel" (Property value) and "Tipo de financiamento" (Financing type)
"Aprovação de crédito" (Credit approval)"Banco" (Bank) and "Data de envio da pasta" (Application file submission date)
"Venda" (Sale)"Data da aprovação" (Approval date)

On screen: The "Para entrar em Pasta, preencha" (To enter Pasta, fill in) dialog: the path from "Visita" (Visit) to "Pasta" (Application file), the "Valor do imóvel" (Property value) field in reais, the "Tipo de financiamento" (Financing type) options, and the "Cancelar" (Cancel) and "Salvar e mover" (Save and move) buttons. When advancing to a stage that requires data, the dialog asks only for what is missing. Cancel returns the card to the stage it came from.

When the AI wants to move the card and some data is missing, the card gets the suggestion to advance, with the list of what is missing, and the agent completes it with one click ("Preencher e mover" (Fill in and move)). By keyboard: with the card in focus, Alt with the right or left arrow moves it between stages, and Enter opens the card. What each stage requires is under "Configurar quadro" (Configure board) → "Campos do cartão" (Card fields) → "O que cada etapa pede" (What each stage requires).

Round-robin and deadline

The qualified lead (or one handed off by the AI) lands in the column with the role "Qualificado" (Qualified), and the round-robin delivers it to the next agent in the queue. The agent has the column's deadline to reply to the lead (15 minutes in the "Imobiliária" (Real Estate) template). When they reply, the card moves on its own to the service column and the deadline stops running. With no reply, the lead goes to the next agent and the agent gets a late mark; three late marks in 7 days remove the agent from the queue.

In an intermediate stage with a deadline, going overdue notifies whoever has the card (or the account Owner, when that person does not log in to the dashboard), with no late mark and no change of agent. The board card shows who is in the queue and who is next in turn, and the card of the lead that was passed along says who did not take it in time.

"Motivos de perda" (Loss reasons)

The loss dialog asks for a reason. The template's reasons come from the industry; under "Colunas e etapas" (Columns and stages) → "Motivos de perda" (Loss reasons) you add your account's (they apply to all boards) and those for this board only. A reason can ask for an extra field: in the "Imobiliária" (Real Estate) template, “"Crédito reprovado" (Credit denied)” asks for the "Motivo da reprovação" (Denial reason). Removing a reason does not erase the history of those already lost because of it.

Deal data and sensitive data

The fields appear in the card panel, and up to three of them on the front of the card. The currency field fills in like a card terminal: the last two digits are the cents (38000000 becomes 380.000,00). They apply to all of the account's boards and are created under "Configurar quadro" (Configure board) → "Campos do cartão" (Card fields): name, type (text, number, currency, date, list, or yes or no), help text, and the stages that require the field.

On screen: "Configurar quadro" (Configure board) → "Campos do cartão" (Card fields): the list of fields with the type, the stages that require each one, how many deals already have a value, and the "No cartão" (On the card) switch; next to it, the card preview and what the "Pasta" (Application file) stage requires. "Campos do cartão" (Card fields): what appears on the front of the card (up to three) and what each stage requires before the card enters.

A field marked as sensitive stays hidden until someone clicks "Mostrar" (Show); the click is logged, and the history shows only “value changed”, without the value. Sensitive data does not appear on the front of the card or in notices to other systems. In health industries, the health fields already come marked as sensitive.

Updating the stage through your system

Your CRM can move the card through the API, with the integration key, using each column's "Nome na API" (Name in the API) (under "Colunas e etapas" (Columns and stages)). This permission comes off: turn it on in "Integrações" (Integrations) → "Entrada de leads" (Lead intake) → "Editar" (Edit). With it off, the key can only send leads.

Frequently asked questions

Can a lead appear on two boards?
It can, if both boards have a new-lead rule. When creating the board from the industry template, leave on the option that stops the old board from receiving new leads.
My industry is not on the list. Now what?
Use the Generic template: simple stages that you rename and complete under "Colunas e etapas" (Columns and stages). The role of each column already comes set. Or, in "Configurações" (Settings) → "Seu segmento" (Your industry), choose "Outro segmento" (Other industry) and the AI builds your industry's template, with a preview before you use it (Account ready for your industry).
What is “in negotiation” in Revenue?
On the "Imobiliária" (Real Estate) board, they are the cards in "Pasta" (Application file) and in "Aprovação de crédito" (Credit approval).

In the dashboard: "Abrir a galeria de segmentos" (Open the industry gallery)
