Companies: list of your contacts' companies, likely duplicates and how to merge repeated companies

Search

Fields and filters

"Buscar empresa, CNPJ, segmento…" (Search company, CNPJ, industry…)
Filters the list by name (accent-insensitive), by CNPJ digits or by industry. On a large base, it searches the entire base from two characters.
  • Count next to it: "‹n› de ‹total› empresas" (‹n› of ‹total› companies), or "‹n› resultados" (‹n› results) when the search covers the entire base.
  • On a large base, a notice that the list shows the companies with the most contacts and that search finds the rest.

Companies list

One row per company, those with the most contacts first.

Buttons and actions

"Ver os contatos de ‹empresa› na Base de contatos" (View ‹company› contacts in Contact base)
Clicking the row opens "Base de contatos" (Contact base) already filtered by that company.
  • Company name.
  • Formatted CNPJ, or "sem CNPJ" (no CNPJ).
  • Industry, when known.
  • Number of contacts linked to the company.

If something goes wrong
"Não foi possível carregar as empresas." (The companies could not be loaded.) with the "Tentar novamente" (Try again) button.

The "Duplicatas prováveis" (Likely duplicates) panel simply does not appear.
Merge rejected
An error notice with the reason, for example when the companies have different CNPJs filled in or when one of them no longer exists.

Step by step

How to merge two duplicate companies

  1. Open "Empresas" (Companies) in the menu.
  2. In the "Duplicatas prováveis" (Likely duplicates) panel, check that the spellings really belong to the same company.
  3. Click "Unificar" (Merge).
  4. Choose which company stays and read the sentence describing the consequence.
  5. Click "Unificar empresas" (Merge companies).

How to dismiss a wrong duplicate suggestion

  1. In the "Duplicatas prováveis" (Likely duplicates) panel, click "Não são a mesma" (Not the same) in the group.
  2. Confirm with "Não são a mesma" (Not the same) in the dialog.
  3. If you change your mind right away, click "Desfazer" (Undo) in the notice.

How to see all the contacts of a company

  1. In "Empresas" (Companies), find the company with the "Buscar empresa, CNPJ, segmento…" (Search company, CNPJ, industry…) search.
  2. Click the company's row. The "Base de contatos" (Contact base) opens filtered by it.

How to add a new company

  1. There is no direct company registration: go to the "Base de contatos" (Contact base).
  2. Click "Novo contato" (New contact) and fill in "Empresa" (Company) (or the CNPJ, which fills in the company from the Receita Federal registry).
  3. When you save, the company starts appearing in "Empresas" (Companies).

Frequently asked questions

Can I create or edit a company directly on this screen?

No. The "Empresas" (Companies) screen has no registration form: a company is created when a contact has the "Empresa" (Company) field filled in, in the "Base de contatos" (Contact base).

Why don't I see the "Unificar" (Merge) button?

"Unificar" (Merge) and "Não são a mesma" (Not the same) appear only to the Owner and Admin. The agent sees the duplicates panel for reference only.

Which company is already selected to stay in the merge?

The one with the most contacts. You can select another one before confirming.

What happens to the contacts of the removed company?

They move to the company that stays. The final notice tells you how many contacts were reassigned.

Does the search find a company by CNPJ with dots and slashes?

Yes. The search compares only the digits of the CNPJ, so it works with or without punctuation.

Help center guide

"Empresas" (Companies)

The companies of your contacts, once only. This is where two spellings of the same customer become one record — and the merge can't be undone.

You never register a company here. Companies are born from contacts: filling in someone's "Empresa" (Company) field in the "Base de contatos" (Contact base) makes the company exist. This screen is for what comes after — checking that the same business didn't become two records because of a different spelling.

The screen

On screen: The "Empresas" (Companies) screen with the likely duplicates panel at the top and the list of companies below. The suggested duplicates on top, the full list below.

  1. Likely duplicates: This panel only appears when there is a suspicion. No empty account shows the yellow banner — if it isn't there, there is nothing to review.
  2. The suggested pair: The two spellings side by side, each with the CNPJ (when there is one) and how many contacts it has. The one with more contacts is the natural candidate to stay.
  3. The similarity and "Unificar" (Merge): The percentage measures only how much the names resemble each other. "Unificar" (Merge) opens the confirmation, where you choose which company stays — nothing is merged on click.
  4. Search and count: Searches by name, CNPJ or industry. Beside it, how many companies are being shown out of how many exist.
  5. The list: Name, CNPJ or sem CNPJ, industry and the number of contacts. Clicking a row opens the "Base de contatos" (Contact base) already filtered by that company.

Merging two companies

  1. Check that it really is the same business: The percentage is a suggestion of similar spelling, not proof. Auto Peças Zona Sul and Auto Peças Zona Norte score high and are two different stores. You decide.
  2. Click "Unificar" (Merge): Opens the confirmation with the two companies and a selector for which one stays. The suggested one is the one with more contacts, but you can choose the other.
  3. Read the consequence sentence: It says how many contacts change company and which name will be removed. Check especially the name that stays: it is the one that will appear everywhere afterward.
  4. Confirm: The contacts move to the chosen company and the other one is deleted. A notice confirms how many contacts were reassigned.

And when they are NOT the same company?

Not every similar spelling is a duplicate — two brokerages with nearly identical names may be competitors. The "Não são a mesma" (Not the same) button dismisses the group: it leaves the list and doesn't come back. Nothing is deleted or merged, and the notice right after confirming has "Desfazer" (Undo). If a new company with a similar name arrives later, the new suggestion appears normally — the dismissal applies only between the companies you reviewed.

When the panel won't make a suggestion

  • Companies with different, filled-in CNPJs never appear together — and if you try, the merge is refused. A filled-in CNPJ is the cheapest safeguard against a wrong merge.
  • Names that don't look alike slip through. Bom Trigo and Padaria do Seu Zé, if they are the same business, stay separate: merge them by hand by entering the same company name on the contacts.
  • Groups you dismissed with "Não são a mesma" (Not the same).
  • Only an Admin or Owner merges (and dismisses). Someone with the agent role sees the duplicates panel, but without the buttons.

Large base

The list shows at most 200 companies, those with the most contacts first, and warns when it is truncated. Beyond that, the search stops filtering only what's on screen and starts searching the whole base from two characters — if you typed a single letter and found nothing, that's why.
