Calendar: meetings the AI books in the conversation, side by side with your Google Calendar

The "Agenda" (Calendar) is the weekly read-only screen with the meetings the AI booked during conversations with leads, alongside the busy times in your Google Calendar.

When it appears: Always in the menu, for all roles. The week grid appears after Google Calendar is connected in "Configurações" (Settings), in the "Agenda" (Calendar) tab; before that, the screen shows the invitation to connect.

Who can use it

RoleWhat you see and do
OwnerSees the week and each meeting's details, opens the conversation, and connects Google Calendar through the screen's button, which leads to "Configurações" (Settings).
AdminThe same as the owner.
AgentSees the same week and the meeting details, and opens the conversation. Connecting Google Calendar is up to the owner or an admin: the button leads to "Configurações" (Settings), which doesn't open for those who handle conversations (it sends them back to the "Painel" (Dashboard)).

Nothing here yet
Below the grid: "Nenhuma reunião marcada pela IA ainda — quando um lead pedir um horário na conversa, ele aparece aqui em verde." (No meetings booked by the AI yet — when a lead asks for a time in the conversation, it appears here in green.)
If something goes wrong
"Não foi possível carregar as reuniões" (Could not load the meetings), reminding you that this doesn't mean the week is free and that no appointment was canceled, with "Tentar de novo" (Try again).

Step by step

How to connect Google Calendar so the AI can book meetings

  1. Open "Agenda" (Calendar) in the menu and click "Conectar Google Agenda" (Connect Google Calendar) (or go to "Configurações" (Settings), "Agenda" (Calendar) tab).
  2. Click "Conectar Google Agenda" (Connect Google Calendar) and sign in with the company's Google account.
  3. Check the working days and the start and end time for each one.
  4. Adjust the "Duração da reunião (min)" (Meeting duration (min)) and the "Intervalo entre reuniões (min)" (Gap between meetings (min)), and click "Salvar expediente" (Save working hours).
  5. Go back to "Agenda" (Calendar) and check the green badge with the right account's email.

How to see next week's meetings

  1. Open "Agenda" (Calendar) in the menu.
  2. Click "Próxima semana" (Next week) (the right arrow) as many times as you need.
  3. Click "Hoje" (Today) to go back to the current week.

How to open the conversation of a meeting scheduled by the AI

  1. On the grid, click the meeting's colored block.
  2. In the details, click "Abrir conversa" (Open conversation): the lead's conversation opens in the Inbox.

How to reschedule or cancel a meeting booked by the AI

  1. Click the meeting on the grid and then "Ver no Google Agenda" (View in Google Calendar).
  2. In Google Calendar, reschedule or delete the event (deleting also cancels it for the guest).
  3. Go back to the details, click "Abrir conversa" (Open conversation), and let the lead know yourself: Google doesn't send a message over WhatsApp.

Frequently asked questions

Can you create or drag a meeting directly in the Calendar?

No. The Calendar is read-only: meetings are born in the conversation, when the lead picks one of the times the AI offers. Changes are made in Google Calendar.

Can agents see the Calendar?

Yes. All roles see the week and the meeting details. Only the Google connection and the working hours, in "Configurações" (Settings), stay with the owner and admins.

Why doesn't the "Ver no Google Agenda" (View in Google Calendar) button appear on a meeting?

It only appears when the event has the Google link. Without a link, use "Abrir conversa" (Open conversation) and check the event directly in Google Calendar.

Do the titles of my personal appointments show up for the team?

No. Only the busy periods come from Google, which the grid draws as gray blocks with no name, no participants, and no description.

Did a meeting booked for 21h disappear from the grid?

It exists, but the grid only draws from 07h to 20h. Check Google Calendar or the lead's conversation.

Help center guide

"Agenda" (Calendar)

The week with the meetings booked during conversations. It is a read-only screen: the hours are defined in "Configurações" (Settings), and cancellations happen in Google Calendar.

In the middle of a conversation the lead asks if you can talk by video, receives three free time slots, picks one, and the event is created in your Google Calendar. This screen is where you watch that happen — and nothing else. Here you cannot create, drag, reschedule, or cancel any meeting.

The week

On screen: Weekly calendar grid from Sunday to Saturday, 07h to 20h, with one meeting booked on Friday. The week from Sunday to Saturday, 07h to 20h.

  1. Navigating and the connected account: "Hoje" (Today) returns to the current week; the arrows move one week at a time. The green badge next to the date range shows which Google account is linked — check that it is the right company account.
  2. The legend: "Reunião marcada pela IA" (Meeting booked by the AI) is the colored block; "Ocupado no seu Google" (Busy in your Google) is the gray one. Those are the only two types of block on the grid.
  3. The days: Sunday to Saturday, with today highlighted. Saturday and Sunday appear shaded even when you work on those days.
  4. The hours range: The grid runs from 07h to 20h, and that range is fixed. An appointment outside it exists, but it is not drawn here.
  5. The day's lanes: The gray rectangles are your private Google appointments: they appear as busy areas, with no title or detail. None of their content is read.
  6. A booked meeting: The lead's name and time. Click it to open the details, with "Abrir conversa" (Open conversation) — to reread what was agreed before joining the meeting — and "Ver no Google Agenda" (View in Google Calendar).

Where availability is set

Not here. It is in Settings, on the "Agenda" (Calendar) tab ("Google Agenda e expediente" (Google Calendar and working hours)). It is the screen that decides whether any meeting will exist, so it is worth opening on day one even if you do not intend to change anything.

The days of the week
Each day has a checkbox and, when checked, a start time and an end time. An unchecked day appears as fechado and is never offered.
"Duração da reunião (min)" (Meeting duration (min))
The size of the block that will be reserved. Thirty minutes is a reasonable starting point for a qualification conversation; one hour fills the calendar quickly.
"Intervalo entre reuniões (min)" (Gap between meetings (min))
The mandatory breathing room before and after each meeting. Zero here produces that day when one meeting starts the second the other ends.

From your Google calendar, only the busy and free blocks are read. The title, attendees, and description of your appointments are not accessed, which is why the grid shows gray rectangles with no name.

How a meeting is booked

  1. The topic comes up in the conversation: The lead asks for a time, or the conversation reaches the point where a meeting is the natural next step.
  2. Three time slots are offered: Always with at least two hours' notice, within the working hours you defined, respecting the duration, the buffer, and whatever is already busy in your Google.
  3. The lead chooses: They reply in the conversation itself, without leaving WhatsApp and without a scheduling link.
  4. The event is created in Google Calendar: And, if the contact has an email on file, they are added as a guest — the invitation is sent by email directly from Google. Without an email, the event exists all the same, just without an invitation.

When no meeting is offered

The three causes, in order of frequency:

  • Google Calendar is not connected. The whole screen turns into the "Conectar Google Agenda" (Connect Google Calendar) invitation, and the meetings that already existed become invisible in the meantime — they did not disappear, they just cannot be read.
  • All days are unchecked in "Configurações" (Settings). This is the state of someone who connected Google and did not scroll down to the working hours.
  • The entire week is taken by your own appointments. In this case there is no defect at all: it is a lack of space, and the fix is to free up space.

Rescheduling and canceling

From the meeting on the grid, "Ver no Google Agenda" (View in Google Calendar) opens the event there, and that is where you reschedule or cancel — deleting the event in Google really cancels it, including for the guest. Once that is done, notify the lead: use "Abrir conversa" (Open conversation) in the same details view and write to them yourself. Canceling in Google sends no message through WhatsApp.

What it looks like when everything is running smoothly

  • The green badge at the top shows the email of the right account — the company's, not the personal one of whoever did the setup.
  • The days checked in Settings match the days when someone is available to respond.
  • The grid has gray blocks (your real life) and colored blocks (the meetings the conversations produced) living together, instead of a blank week.
  • Meetings fall within the 07h to 20h range. If you arrange meetings at 21h, they will not appear drawn here.
  • The Dashboard shows the "PRÓXIMOS AGENDAMENTOS" (UPCOMING APPOINTMENTS) card. If it disappears from the Dashboard, that is the first sign that nothing has been booked in a while.

In the dashboard: "Abrir a Agenda" (Open Calendar)
