Flows in Automations: organize the flows in folders and draw the conversation's path node by node

Flows is for drawing, node by node, the path the conversation follows when something happens (a message, a system notice, a time, a tag), with AI agents, conditions and actions, and organizing those flows in folders.

When it appears: Appears in the Automations group when the release of Flows and Webhooks is turned on for the account; a new account is already created with Automations turned on, except Ads. The "Base de conhecimento avançada" (Advanced knowledge base) module must also be active; without it, the address leads to the module's page.

Who can use it

Role	What you see and do
Owner	Sees and edits everything, and is the only one who publishes a flow (even with a failing evaluation), goes back to an old version and takes a flow offline.
Admin	Sees the list and the editor, creates and edits flows, folders and sample conversations, tests and deletes. Does not publish: the dialog warns that only the account owner publishes.
Agent	Does not see the item in the menu; anyone who opens the address directly is sent back to the start of the dashboard.

Screens

"Fluxos" (Flows)

The Flows screen is for seeing all of the account's flows, creating a new one and organizing the list in folders, with search, order and the column of AI agents each flow uses.

Address in the dashboard: /app/automacoes/fluxos

How to get there: Via the menu Automations › "Fluxos" (Flows). The old address in "Base avançada" (Advanced base) keeps working.

"Nova pasta" (New folder): Opens the dialog to create a folder. A folder only organizes the list; it does not change what the flows do.
"Novo fluxo" (New flow): Opens the dialog to name and choose the trigger of the flow.

A box reminds you that folders, versions, draft and published, conversation testing and "Execuções" (Runs) work as before.

Search and order

Fields and filters

"Buscar fluxo" (Search flow): Filters the list by name; inside an open folder, it searches only there.
"Ordenar" (Sort): Name (A to Z), Most nodes or Status.

Buttons and actions

"Limpar a busca" (Clear search): Appears when the search finds nothing and goes back to the whole list.

Folders

The list of folders and the list of flows inside each one.

Buttons and actions

"Abrir a pasta ‹pasta›, ‹n› fluxos" (Open folder ‹pasta›, ‹n› flows): Shows only the flows in the folder.
"Mais ações da pasta ‹pasta›" (More actions for folder ‹pasta›): Opens the folder's menu with "Abrir" (Open), "Renomear" (Rename) and "Excluir" (Delete) the folder.
"Ver fluxos sem pasta, ‹n› fluxos" (See flows without a folder, ‹n› flows): Shows the flows that are not in any folder.
"Todos os fluxos" (All flows): Lists all of the account's flows, from all folders.
"Todas as pastas" (All folders): Inside a folder, goes back to the list of folders.
"Renomear" (Rename): Renames the folder in place; Enter saves and Esc cancels. A repeated name gives an error.
"Excluir a pasta" (Delete folder): Asks for confirmation; the folder's flows go back to No folder and no flow is deleted.
"Ver todas as pastas" (See all folders): Appears in an empty folder, to go back to the list.

No folder gathers the flows that are not in any folder.
Drag a flow onto a folder, or use the card's menu › Move to…
Drop here to take it out of the folder: inside a folder, dropping the flow there leaves it without a folder.

Flows table

One row per flow; clicking the row opens the editor.

Buttons and actions

"Mais ações de ‹fluxo›" (More actions for ‹flow›): Opens the row's menu with Move to… and "Excluir fluxo" (Delete flow).
"Mover para…" (Move to…): Opens the dialog to choose the destination folder.
"Excluir fluxo" (Delete flow): Opens the dialog to delete or archive the flow.

Columns: Flow, Trigger, Nodes, AI agents, Status and Last run.
AI agents shows the agents the flow uses; hovering shows the name the lead sees. A deleted agent appears as such.
Status: Published with the version, Unpublished changes, Draft or Offline.
Last run: None yet, Today or Yesterday with the time, or the date.

New folder dialog

Fields and filters

"Nome da pasta" (Folder name)required: Up to 40 letters and one that does not exist yet, ignoring case and accents.

"Criar pasta" (Create folder): Creates the folder.
"Cancelar" (Cancel): Closes without creating.

Move to… dialog

To change the folder with the keyboard, without dragging.

"Novo fluxo" (New flow) dialog

Fields and filters

"Nome" (Name): The flow's name; if left empty, it is created as "Novo fluxo" (New flow).

"Mensagem do lead" (Lead's message): Trigger that runs before the AI's normal service.
"Aviso do seu sistema" (Notice from your system): Trigger that runs when a webhook arrives from the company's system.
"Agenda" (Calendar): Trigger at a recurring time.
"Evento no atendimento" (Event in the conversation): Trigger when the lead changes stage or becomes hot.
"Cancelar" (Cancel): Closes without creating.
"Criar e abrir o editor" (Create and open the editor): Creates the flow and opens the editor.

If the trigger already has a published flow, the notice says which one: only one counts at a time.

Screen states

Loading: Skeleton blocks while the list loads.
Nothing here yet: No flows yet, with the Create the first flow button. There are also notices for a search with no results, an empty folder and All the flows are in a folder.
If something goes wrong: Could not load the flows, with the try again button.
The search finds nothing: No flow with the searched text, with the Clear the search button.
The open folder is empty: The notice that the folder is empty and how to move a flow into it.

"Editor de fluxo" (Flow editor)

The "Editor de fluxo" (Flow editor) screen is for drawing node by node what happens in the conversation, in full screen: the list of nodes on the left, the canvas in the middle and the inspector of the selected node on the right, with test, evaluations, runs and versions.

How to get there: Click a row in "Fluxos" (Flows), or "Criar e abrir o editor" (Create and open the editor) in the "Novo fluxo" (New flow) dialog.

Top bar

Fields and filters

"Nome do fluxo" (Flow name): Editable; saves when you leave the field or with Enter.

Buttons and actions

"Voltar" (Back): Returns to the list of flows.
Editor: Edit mode on the canvas.
"Execuções" (Runs): Mode with the conversations that went through the flow in the last 24 hours.
"Avaliações" (Evaluations): Mode with the sample conversations that run with every publication.
"Versão" (Version): Version selector: choosing an old version asks whether you want to go back to it; choosing the live one offers to take it offline.
"Central de ajuda" (Help center): Opens the guide for the "Base de conhecimento avançada" (Advanced knowledge base).
"Publicar" (Publish)Owner: Opens the publish dialog.
"Mais ações do fluxo" (More flow actions): Opens the flow menu.
"Excluir fluxo" (Delete flow): Opens the delete or archive dialog; then returns to "Fluxos" (Flows).

Node list

Fields and filters

"Buscar componente" (Search component): Search by name or description; opens all the groups.
"Só os novos" (New only): Shows only the components with the "Novo" (New) badge.

Buttons and actions

"Favoritar" (Favorite): Star on each node: adds it to or removes it from the "Favoritos" (Favorites) group.
"Favoritos" (Favorites): Group with the favorited nodes (only appears when there are any).
"Gatilhos" (Triggers): Group: "Mensagem do lead" (Lead message), "Primeira mensagem" (First message), "Mensagem com condição" (Message with condition), "Aviso do seu sistema" (Notice from your system), "Agenda" (Schedule), "Evento no atendimento" (Service event) and "Etiqueta adicionada" (Tag added). The flow's trigger is already on the canvas.
"IA" (AI): Group: AI agent, Classify intent, Extract fields, Generate reply and Summarize.
"Lógica" (Logic): Group: "Condição" (Condition), "Esperar" (Wait), "Dividir" (Split) and "Randomizador" (Randomizer).
"Ações" (Actions): Group: Call action, Send form (only with WhatsApp Forms released), Link agent, Text message, Media message, Options menu, Save variable, HTTP request, Transfer conversation, Search conversation and Tag in the CRM.
"Equipe" (Team): Group: "Passar para a equipe" (Hand off to the team) and "Avisar a equipe" (Notify the team).

Drag a node onto the canvas, double-click it or press Enter to add it. Each type of trigger can appear only once in the flow.

Canvas

The draggable nodes and the curved wires labeled with their output (yes, no, error, A, B, found, not found, no response, the text of each menu option) and the counts for the last 24 h.
Connect an output to another node by pulling the wire; each output has only one wire.
Delete or Backspace removes the selected node (the "Início" (Start) node and the trigger cannot be removed).
At the bottom of the canvas: how many nodes there are, who edited and when, and the "saved ... ago" indicator of the autosave. A failure to save appears there, and the editor tries again.

Canvas bar and test

Fields and filters

"Mensagem do lead para o teste" (Lead message for the test): What the lead would say; Enter runs it. The last message is remembered.

Buttons and actions

"Enquadrar" (Fit to screen): Adjusts the zoom to fit the whole flow.
"Aproximar" (Zoom in): Zooms in.
"Afastar" (Zoom out): Zooms out.
"Desfazer" (Undo): Undoes the last change on the canvas.
"Testar com uma conversa" (Test with a conversation): Opens the test box; during the test, it turns into "Running the test conversation…".
"Rodar o teste" (Run the test): Runs the draft as a simulation: each node lights up along the path it went through and, at the end, a notice summarizes nodes, time and response. Nothing is sent, saved or billed.
"Cancelar" (Cancel): Closes the test box.

Node inspector: all nodes

Opens when you select a node; the fields change with the type.

Fields and filters

"Título do nó" (Node title): The node's name on the canvas.
"Linha do canvas" (Canvas line): The short description shown on the node.

Buttons and actions

"Fechar" (Close): Closes the inspector.
"Excluir nó" (Delete node): Removes the node and its wires (does not appear on the "Início" (Start) node or the trigger).

"Modelo" (Model): in the AI nodes, the account's AI or, on the plan with own AI, the company's model.
Last 24 hours: the entries into the node and, in the condition, how many went to yes and how many to no.
Notice with what is missing before you can publish.
In a flow with a free-form message, the notice that outside the WhatsApp 24-hour window the free-form message is not delivered: use a template approved by Meta.

Inspector: triggers

Fields and filters

"Evento do seu sistema" (Event from your system): "Aviso do seu sistema" (Notice from your system): the event named on the Webhooks screen.
"Dias" (Days): "Agenda" (Calendar): the days of the week.
"Hora (no fuso da conta)" (Time (in the account time zone)): "Agenda" (Calendar): the time.
"Para os leads da etiqueta" (For leads with the tag): "Agenda" (Calendar): who receives it.
"Quando" (When): "Evento no atendimento" (Event in the conversation): The lead moved to another stage in the "Funil" (Pipeline) or The lead became hot.
"Canais" (Channels): "Primeira mensagem" (First message): WhatsApp, Instagram Direct or Web chat; choose at least one.
"Conta como primeira se não fala há" (Counts as first if no contact for): "Primeira mensagem" (First message): after how many days without a conversation the contact counts as a first contact again.
"A mensagem" (The message): Message with a condition: contains, equals or starts with.
"Palavras (separe por vírgula)" (Words (separate with commas)): Message with a condition: the words searched for; it is not case-sensitive or accent-sensitive.
"Etiqueta" (Tag): Tag added: the tag that triggers the flow. A tag that the flow itself applies does not trigger anything, so that one flow never wakes another in an endless loop.

Buttons and actions

"Trocar gatilho" (Change trigger): Changes the trigger type in place; the output wire stays connected. In a published flow, the new trigger only takes effect on publishing.

Inspector: AI nodes

Fields and filters

"Qual agente conversa aqui" (Which agent talks here): "Agente de IA" (AI agent): picks one of the account's agents, along with its status. A deleted agent asks you to choose another; an unpublished agent warns that the conversation would continue without it.
"Devolve ao fluxo quando" (Returns to the flow when): "Agente de IA" (AI agent): the agent hands the conversation back when it meets the goal, when it transfers to the team or after a number of messages.
"Instrução só deste ponto (opcional)" (Instruction for this step only (optional)): "Agente de IA" (AI agent): adds to the agent's instructions only in this flow.
"Intenções" (Intents): "Classificar intenção" (Classify intent): the possible intents (Enter adds one); below the confidence threshold it becomes other.
"Confiança mínima" (Minimum confidence): "Classificar intenção" (Classify intent) and "Extrair campos" (Extract fields): the AI's confidence threshold.
"Campos" (Fields): "Extrair campos" (Extract fields): each field, its format and whether it is required.
"Se faltar, a IA pergunta" (If missing, the AI asks): "Extrair campos" (Extract fields): the question for the lead when a piece of data is missing; the flow waits for the answer.
"Instrução" (Instruction): "Gerar resposta" (Generate response): what the response should say; it uses the persona and the approved facts.
"Para quem" (For whom): "Resumir" (Summarize): the team (goes with the handoff) or the CRM (note on the record).

The "Agente de IA" (AI agent) node uses the agent's tools and model; the usage appears in the agent's usage. The channel is the one of the conversation.

Inspector: logic nodes

Fields and filters

"Condição" (Condition): The rules about intent, confidence, extracted fields, action response, system notice and lead; yes and no outputs.
"Combinar" (Combine): With more than one rule: all must hold (and) or any one must hold (or).
"Esperar por" (Wait for): A time or only the lead's reply.
"ou a resposta do lead, o que vier primeiro" (or the lead's reply, whichever comes first): "Esperar" (Wait): continues when the lead replies, even before the time is up.
"Caminho A recebe" (Path A receives): "Dividir" (Split): the percentage for path A; the same lead always lands on the same side.
"Modo" (Mode): "Randomizador" (Randomizer): Random (each lead falls into a path according to the weight) or In sequence (rotation A, B, C, A…).
"Nome do caminho" (Path name): "Randomizador" (Randomizer): the name of each path, which becomes the label of the output.
"Peso" (Weight): "Randomizador" (Randomizer): the weight of each path; in Random mode the weights must add up to 100%.

"Regra" (Rule): In "Condição" (Condition), adds a rule.
"Tirar esta regra" (Remove this rule): In "Condição" (Condition), removes the rule.

Fields and filters

"Ação" (Action): "Chamar ação" (Call action): a published action; if the system does not respond or the query cannot run, it continues through the error wire.
"Formulário" (Form): "Enviar formulário" (Send form): the published form to send.
"Agente" (Agent): "Vincular agente" (Link agent): the agent that handles the conversation from here on. Different from the "Agente de IA" (AI agent) node, which talks only at that point of the flow and hands back.
"Texto" (Text): "Mensagem de texto" (Text message): fixed text, with variables.
"Tipo" (Type): "Mensagem de mídia" (Media message): Image, Audio, Video or Document, each with its own size limit.
"Endereço do arquivo" (File address): "Mensagem de mídia" (Media message): address starting with https://, with a variable if you wish.
"Legenda (opcional)" (Caption (optional)): "Mensagem de mídia" (Media message): the caption. WhatsApp does not show a caption on audio.
"Formato" (Format): "Menu de opções" (Options menu): Buttons (up to 3) or List (up to 10).
"Pergunta" (Question): "Menu de opções" (Options menu): the text the lead reads.
"Opções (cada uma vira uma saída)" (Options (each one becomes an exit)): "Menu de opções" (Options menu): up to 20 characters per button and 24 per list item; each option becomes an output.

Buttons and actions

"Abrir a ação" (Open the action): In "Chamar ação" (Call action), opens the editor of the chosen action.
"Testar só este nó" (Test only this node): In "Chamar ação" (Call action), opens the action's test.
"Testar com um pedido de exemplo" (Test with a sample request): In "Requisição HTTP" (HTTP request), makes a test call and shows the result and the time.

Media message: image up to 5 MB (JPG, PNG), audio up to 16 MB (MP3, OGG, AAC), video up to 16 MB (MP4) and document up to 100 MB (PDF).
"Menu de opções" (Options menu): Meta accepts up to 3 buttons; for more options, use List. There is a preview on WhatsApp, and if the lead types instead of tapping, the AI understands which option they meant.
"Requisição HTTP" (HTTP request): two outputs, success (2xx) and error or no response within 10 s.
"Transferir conversa" (Transfer conversation): "Passar para a equipe" (Hand off to the team) remains the usual handoff, with the name of the agent.

Inspector: team nodes

Fields and filters

"Fila" (Queue): "Passar para a equipe" (Hand off to the team): the queue; it carries the summary and the fields, and the lead sees the agent's name.
"Aviso no sino" (Bell notification): "Avisar a equipe" (Notify the team): the message in the bell, without taking the conversation away from the AI.

"Execuções" (Runs) mode

Buttons and actions

"Todas" (All): Shows all the conversations from the last 24 hours.
"Com erro" (With error): Only those that ended with an error.

Each conversation with the lead, the outcome, the node-by-node path and the duration; clicking returns to the editor with the path lit up on the canvas.

"Avaliações" (Evaluations) mode

Fields and filters

"Nome curto" (Short name)required: The name of the sample conversation.
"Conversa de exemplo" (Sample conversation)required: What the lead says.
"Esperado (na ordem)" (Expected (in order))required: The steps the flow must perform, in this order; it may perform others in between. "Extrair campos" (Extract fields) only counts when the flow asks the lead for what was missing.

Buttons and actions

"Conversa de exemplo" (Sample conversation): Opens the dialog for a new sample conversation.
"Rodar de novo" (Run again): Runs all the evaluations; each result appears when it finishes.
"Editar" (Edit): Edits the sample conversation.
"Excluir ‹nome›" (Delete ‹name›): Asks, then permanently deletes the sample conversation.
"Salvar" (Save): Saves the sample conversation.
"Excluir" (Delete): Confirms the deletion of the sample conversation.

Table: "Conversa de exemplo" (Sample conversation), "Esperado" (Expected), "Obtido" (Obtained) and "Resultado" (Result) (passed, failed or not run yet). A failure blocks the "Publicar" (Publish) button.

Publish and version dialogs

Fields and filters

"Código de verificação" (Verification code): When the flow calls an action that writes.

Buttons and actions

"Publicar" (Publish)Owner: Publishes the version; the AI uses it starting with the next message.
"Publicar assim mesmo" (Publish anyway)Owner: With a failing evaluation, publishes anyway and it is logged.
"Corrigir antes" (Fix first): Closes so you can fix it (with a failing evaluation).
"Tirar do ar" (Take offline)Owner: On the version in use, takes the flow offline and frees the trigger for another flow.

The dialog runs the evaluations when it opens and shows what changed.
If the trigger already has another published flow, the dialog says which one: take that one offline to publish this one.

Screen states

Loading: Skeleton placeholders for the top bar and the canvas.
Nothing here yet: "Execuções" (Runs): No conversation has gone through here yet. "Avaliações" (Evaluations): No sample conversation.
If something goes wrong: This flow could not be opened (it may have been deleted or the connection dropped). A failure to save appears in the footer of the canvas, which tries again.
On mobile: The notice To edit, use a computer. You can view the flow, the runs and test with a conversation.
Flow in use by another published trigger: The publishing dialog says which flow already uses the trigger; only one is valid at a time.

Step by step

How to create a flow

In Automations › "Fluxos" (Flows), click "Novo fluxo" (New flow).
Give it a name and choose the trigger: "Mensagem do lead" (Lead's message), "Aviso do seu sistema" (Notice from your system), "Agenda" (Calendar) or "Evento no atendimento" (Event in the conversation).
Click "Criar e abrir o editor" (Create and open the editor).
Drag the nodes from the list onto the canvas and connect the outputs by pulling the wire.
Test with "Testar com uma conversa" (Test with a conversation) and, when it looks good, the owner clicks "Publicar" (Publish).

How to organize flows in folders

Click "Nova pasta" (New folder), type the name (up to 40 characters) and click "Criar pasta" (Create folder).
Drag the flow row to the folder, or open the row menu and choose "Mover para…" (Move to…) and then "Mover" (Move).
To rename or delete the folder, open "Mais ações" (More actions) on the folder; the flows of a deleted folder go back to "Sem pasta" (No folder).

How to have an AI agent talk at a point of the flow

In the node list, in the AI group, drag "Agente de IA" (AI agent) onto the canvas.
In "Qual agente conversa aqui" (Which agent talks here), choose the agent (it must be published).
In "Devolve ao fluxo quando" (Hands back to the flow when), choose goal met, transfer to the team or a number of messages.
Connect the node outputs to the next steps.

How to test a flow before publishing

In the editor, click "Testar com uma conversa" (Test with a conversation).
Write the "Mensagem do lead para o teste" (Lead message for the test) and click "Rodar o teste" (Run the test).
See which way the nodes lit up and read the notice with the summary. Nothing is sent, saved or charged.
In "Avaliações" (Evaluations), register sample conversations; they run at every publication.

How to go back to an older version or take the flow offline

In the "Versão" (Version) selector, choose the older version and confirm with "Voltar para esta" (Go back to this one); it becomes the next version, published now.
To take the flow offline, choose in the selector the version that is live and use "Tirar do ar" (Take offline); the trigger becomes free for another flow.
Only the account owner can do both.

Frequently asked questions

Can I have two flows with the same trigger live?

No. Only one published flow is valid per trigger. The publishing dialog says which flow already uses the trigger; take that one offline to publish the other.

Does deleting a folder delete the flows?

No. The flows go back to "Sem pasta" (No folder) and remain published as before.

Does the conversation test send a real message?

No. It is a simulation: nothing is sent, saved or charged.

What is the difference between the "Agente de IA" (AI agent) node and "Vincular agente" (Link agent)?

The "Agente de IA" (AI agent) talks only at that point of the flow and hands the conversation back. "Vincular agente" (Link agent) makes an agent handle the conversation from here on.

Who can publish a flow?

Only the account owner. The admin creates, edits and tests, but the dialog warns that publishing belongs to the owner.

Can I edit a flow on my mobile phone?

No. On a mobile phone you can view the flow, the runs and test with a conversation; to edit, use a computer.
